Purpose and legal basis for data processing
The Controller processes contact information of senders and recipients of email correspondence, contained within the content of such correspondence, for the purpose of:
- enabling email contact with the controller and initiating contact with recipients,
- documenting arrangements made with customers, contractors, and other individuals,
- receiving letters, reports, and applications in electronic form, e.g., complaints, warranty claims, and other requests,
- protection against claims and the pursuit of potential claims.
The legal basis for processing is our legitimate interest (Art. 6(1)(f) of the GDPR) consisting of conducting correspondence addressed to us in connection with our business activity.
Data retention period
We store correspondence for the period necessary for the proper and reliable fulfillment of the purposes mentioned above, respectively for each purpose individually, unless the messages contain content relevant to the pursuit of claims or defense against claims; in such cases, selected messages will be stored for up to 6 years (the statute of limitations for claims), and in the event of potential court proceedings, also beyond this period (Art. 6(1)(f) of the GDPR).
Individual rights
In connection with our processing of your personal data, you have the right to:
- request access to your personal data,
- request rectification of your personal data,
- request erasure or restriction of processing of your personal data,
- object to the processing of your data,
- lodge a complaint with the President of the Office for Personal Data Protection (UODO) if you consider that the processing of your personal data violates the law.
Providing your data is voluntary, but failure to do so may make it impossible to continue correspondence.
Your data will not be processed in an automated manner (profiling).
Data recipients
Your personal data may be transferred to entities processing it on behalf of the Controller, including marketing agencies, entities providing technical services (development and maintenance of IT systems and websites), the entity handling accounting, or those providing courier services.
Transfer of data to a third country/international organization
Your personal data will not be transferred outside the European Economic Area (EEA) or to international organizations.
